We understand that plans can change. If you’ve paid the application fee but decide not to study with us, in some cases, you may be eligible for a refund.
On this page, you’ll find:
If your visa application is officially denied, you may request a refund.
You must provide:
A formal refusal letter from the embassy or consulate
A copy of the passport page showing your personal data
This is the most common reason for refund approval. Without this official proof, the refund cannot be processed.
✅ Make sure your visa decision letter clearly states the refusal and your full name.

You are entitled to a refund if:
Your chosen study program is cancelled
The university is unable to offer you a place after payment
There is a formal error made by the university (e.g. double payment request)
These situations are rare but fully refundable once confirmed by our admissions office.
💡 In such cases, the refund is processed automatically – but you still need to submit the form.
In specific, well-documented cases – like a double payment or technical payment error – you may be eligible for a refund.
Each of these is reviewed individually, and additional documents may be requested.
⚠️ Note: Changing your mind, choosing another university, or missing deadlines do not qualify for a refund.
The refund request must come directly from the person who paid the application fee.
In most cases, this will be the student applying for admission. However, if the payment was made by a legal guardian (e.g., a parent), they can also submit the request – but only on behalf of the applicant.
⚠️ Refunds cannot be processed through agents, friends, or unrelated third parties – even if they helped with the application.
To prevent fraud and protect your data, we need to confirm your identity.
When requesting a refund, you must provide a copy of a valid ID or passport. This document must clearly match the name on:
Your university application
The payment confirmation
If the payment was made by someone else (e.g., a parent), additional documents may be required to prove the relationship.
🔐 Your data is safe – we only use it to verify your request.
Refund requests must be sent within the time frame set by the university, typically:
Within 30 days of receiving your visa refusal
Or before the academic year begins, if other reasons apply
Requests submitted after the deadline will not be considered, regardless of the reason.
Please don’t wait – if something changes in your situation, contact us as soon as possible.
📅 Always check the specific refund deadlines in your acceptance or offer letter.
To apply for a refund, make sure you collect and scan the following:
Completed Refund Request Form (downloadable below)
Proof of payment (bank confirmation or transfer slip)
Relevant supporting documents (e.g., visa refusal letter)
Make sure all documents are clear and legible.
📌 Incomplete applications will delay processing or be rejected.
Starting from the 2025/26 academic year, all candidates must go through a two-round recruitment process for both summer and winter intakes.
If a student does not obtain a visa in the first round, their application will be automatically moved to the next intake, and the university will issue all necessary documents again.
📌Example:
If you apply for the summer intake but do not obtain a visa, your application will automatically move to the winter intake.
If you apply for the winter intake but do not obtain a visa, your application will automatically move to the summer intake.
A refund application will only be accepted if the student has participated in both recruitment rounds and has been denied a visa twice. Refund requests can be submitted between March 15th till May 15th or October 15th tilll December 15th.
